This Privacy Policy explains how Aevra (“Aevra,” “we,” “us,” or “our”) collects, uses, and protects information when you visit aevra.ai, use our dental clinic software platform, or receive communications from Aevra or a participating dental clinic. Aevra provides software to dental clinics to support treatment-plan presentation, patient communication, scheduling coordination, and related services.
By using our website, platform, or communications services, you agree to the practices described in this Privacy Policy.
1. Information We Collect
We may collect the following categories of information:
- Contact information provided by clinic staff, patients, or website visitors, including name, email address, mobile phone number, and clinic affiliation.
- Dental and treatment-related information processed on behalf of a participating dental clinic to support treatment planning, scheduling, and patient communications.
- Usage and device data such as IP address, browser type, pages viewed, and interaction events collected through standard web analytics.
- Communication content such as messages exchanged through the platform, support requests, and inbound replies to SMS or email.
2. How We Use Information
We use information to:
- Provide, operate, and improve the Aevra platform and related services.
- Enable participating dental clinics to communicate with their patients about treatment plans, appointments, scheduling, follow-ups, reminders, and support.
- Authenticate users, prevent abuse, and protect the security of our systems.
- Respond to support requests and provide customer service.
- Comply with legal obligations and enforce our agreements.
3. SMS Communications / Text Messaging
Aevra and participating dental clinics may collect patient mobile phone numbers in order to send SMS/text messages related to dental care. Mobile phone numbers may be provided by the patient directly to the clinic, entered by clinic staff into the Aevra platform, or imported from the clinic’s existing patient records with the clinic’s authorization.
How we use mobile numbers. Mobile phone numbers may be used to send messages about:
- Treatment plans and treatment-plan follow-up
- Appointment and scheduling coordination
- Appointment reminders
- Questions, follow-ups, and care updates
- Patient support related to dental care
Message frequency. Message frequency varies and depends on your interactions with your dental clinic and the stage of your care.
Message and data rates. Message and data rates may apply based on your mobile carrier and plan.
Opt out at any time. Reply STOP to any SMS message to opt out of future text messages from that program. After you reply STOP, you will receive a confirmation message and will not receive further messages from the program unless you opt back in.
Help. Reply HELP to any SMS message to receive help, or contact us at support@aevra.ai.
No sale of mobile opt-in data. Aevra does not sell mobile opt-in information, SMS consent, or text-messaging contact data to anyone.
No sharing for third-party marketing. Aevra does not share mobile opt-in information or SMS consent with third parties for those parties’ own marketing or promotional purposes.
Operational sharing only. Information related to SMS may be shared only as needed to deliver the service (for example, with our SMS messaging provider and other service-provider subprocessors that process information on our behalf), to comply with law or legal process, or to support communications between a dental clinic and its patient. Service providers are contractually limited to using the data only to provide the service to Aevra and the clinic.
Consent is not a condition of purchase. Consent to receive text messages is not a condition of purchasing any goods or services from Aevra or a participating clinic.
4. How We Share Information
We share information only in the following limited circumstances:
- With participating dental clinics. Information patients provide through Aevra is shared with the patient’s dental clinic to support their care.
- With service providers (subprocessors). We use trusted vendors for hosting, messaging delivery, analytics, and security. These providers are bound by contract to use the data only to provide services to Aevra and the clinic.
- For legal reasons. We may disclose information when we believe in good faith that disclosure is required by law, legal process, or to protect the rights, safety, or property of Aevra, our users, or others.
- In a business transaction. If Aevra is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to equivalent privacy protections.
We do not sell personal information for monetary value, and as noted above, we do not sell or share mobile opt-in data or SMS consent for third-party marketing.
5. Data Security
We use commercially reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is 100% secure, however, and we cannot guarantee absolute security.
6. Data Retention
We retain information for as long as needed to provide the service, comply with our legal obligations, resolve disputes, and enforce our agreements. SMS opt-in records and opt-out records are retained as needed to honor consent and operate the messaging program.
7. Your Choices
- SMS opt-out: Reply STOP to any SMS message at any time.
- Email opt-out: Use the unsubscribe link in any marketing email, or contact us at support@aevra.ai.
- Access, update, deletion: Contact your dental clinic for records they control, or contact Aevra at support@aevra.ai for information Aevra controls. We will respond consistent with applicable law.
8. Children’s Privacy
Aevra’s services are intended for use by dental clinics and their adult representatives. Where a dental clinic uses the platform to coordinate care for a minor patient, the clinic is responsible for obtaining any required parental or guardian consent.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. Material changes will be communicated through the platform or by other reasonable means.
